Overview
We are seeking a highly proactive and detail-oriented Executive Assistant to support the Chief Financial Officer (CFO) of a dynamic organization. The ideal candidate will thrive in a fast-paced, evolving environment, adapt quickly to shifting priorities, and serve as a reliable partner to ensure accuracy, efficiency, and follow-through in both administrative and finance-related tasks.
This role requires someone who is resourceful, accountable, and able to provide structure and support to a leader who operates at a fast pace with a hands-on and spontaneous style.
Key Responsibilities
- Provide comprehensive executive support to the CFO, anticipating needs and ensuring priorities are managed effectively.
- Manage daily workflow and follow-up on previously assigned tasks, ensuring nothing is overlooked or delayed.
- Support financial operations, including bookkeeping, invoice review, payroll preparation, and assisting with reconciliations or transaction tracking.
- Serve as a second set of eyes for financial details—catching discrepancies or missed items before they escalate.
- Maintain a structured task tracking system, ensuring clarity around deadlines, deliverables, and follow-through.
- Prepare and organize reports, presentations, and financial documentation as requested.
- Manage scheduling, calendar, inbox, and communication flow, ensuring the CFO’s time is prioritized effectively.
- Handle sensitive and confidential information with the highest level of discretion.
- Adapt quickly to spontaneous changes in priorities and provide solutions proactively.
Qualifications
- Proven experience as an Executive Assistant, preferably supporting a CFO, Finance Executive, or Senior Leadership.
- Strong organizational and follow-through skills; ability to track and complete multiple moving tasks with accuracy.
- High attention to detail, particularly in financial data, payroll, and bookkeeping-related tasks.
- Strong problem-solving skills with the ability to anticipate needs and identify issues before they become problems.
- Tech-savvy with proficiency in tools such as Microsoft Office Suite, Google Workspace, and project/task management software.
- Familiarity with bookkeeping, accounting processes, or financial reporting is highly preferred.
- Exceptional communication skills (written and verbal) and the ability to work effectively with cross-functional teams.
- Proactive, adaptable, and able to stay calm under pressure in a fast-paced environment.
