We seek a highly organised and detail-oriented HR Operations and Systems Administrator to join our team. In this role, you will manage the smooth operation of HR systems and processes, ensure data integrity, and work closely with HR leadership to improve efficiency through technology. The ideal candidate will have a blend of HR operational expertise, is tech savvy with HR systems, and has a passion for process optimisation.

Take ownership by:
HR Systems Administration:
- Primary System Administrator for all HRIS and HR-related systems (e.g., Asana, Personio, Notion, Dropbox Sign, Figures HR, Process Street, Doozy, Geekbot, Typeform).
- System Configuration and Troubleshooting: Manage setup, configurations, troubleshooting, and system upgrades to align with HR and organisational requirements.
- Data Accuracy and Integrity: Ensure all HR systems maintain accurate, up-to-date data by conducting regular audits and implementing data quality controls.
- Employee and Contractor Support: Handle employee and contractor requests (e.g., time-off, benefits) and ensure all processes are accurately reflected in the HRIS.
- Policy Implementation Support: Aid the HR team in integrating and updating HR policies and procedures within relevant HR platforms.
Process Optimization:
- Operational Process Review: Regularly evaluate HR operational processes, identifying areas for improvement in efficiency, scalability, and compliance.
- Automation and Streamlining: Collaborate with HR to identify automation opportunities and implement solutions for manual or repetitive tasks.
- Best Practice Adoption: Drive continuous process improvement by championing best practices across HR operations, ensuring technology supports organisational goals.
Data Management & Reporting:
- Data Consistency and Management: Oversee data entry, updates, and consistency across employee records, compensation details, benefits, and job changes within HR systems.
- Reporting and Analytics: Generate HR reports and metrics to inform decision-making, partnering with HR leadership to ensure data meets strategic needs.
- Support Strategic Initiatives: Collaborate on HR-led strategic initiatives, including system upgrades, process improvements, and the rollout of new technology solutions.
- Employee Handbook Maintenance: Keep the employee handbook updated to reflect current policies, and ensure access and compliance through HR systems.
Employee Lifecycle Management:
- Onboarding and Offboarding Oversight: Administer HRIS tasks for new hires, role changes, and exits, ensuring a seamless and efficient lifecycle process.
- Onboarding Experience Management: Coordinate a smooth onboarding experience, ensuring all new hires are effectively set up in HR systems.
- Data Integration for Lifecycle Events: Partner with HR colleagues to synchronise data across systems during key processes, such as performance reviews, payroll, and benefits adjustments.
Compliance and Legal Support:
- Regulatory Compliance: Ensure all HR systems and processes comply with applicable employment laws and regulations at the local, state, and federal levels.
- Documentation and Record-Keeping: Assist with managing employment documents, such as EoR agreements, contracts, NDAs, and relocation paperwork, while maintaining confidentiality and compliance.
- Audit Preparedness: Ensure systems and processes are audit-ready by maintaining comprehensive records and supporting HR with compliance reviews and updates.
Job requirements
This challenge will suit you if:
- You can work a minimum of 20 hours per week.
- You have at least 3+ years of experience in HR operations or related fields.
- Strong working knowledge of HRIS and Collaboration systems (e.g., Asana, Personio, Notion, Dropbox sign, Figures HR, Process Street, Doozy, Geekbot, Typeform or other similar programs.)
- Solid understanding of HR policies, labor laws, and compliance requirements.
- Strong understanding of HR processes and operational best practices, including payroll, benefits, and compliance.
- Proficiency in data management, reporting, and analytics within HR systems.
- Familiarity with HR-related compliance requirements, including data privacy regulations (e.g., GDPR).
- Excellent organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal, with the ability to interact with employees at all levels.
- Proficiency in Google Workspace.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive and resourceful problem-solver with the ability to work independently.
- Proficiency in the Dutch language is a bonus
